Email rules send automated messages to guests when a reservation reaches a specific lifecycle event.
Prerequisites
- Manager or Owner role
Viewing email rules
Click Email Rules in the left sidebar. The list shows all configured rules and their current Active / Paused status.
The Booking Confirmed rule
This rule fires immediately when a reservation moves to Confirmed status. It is active by default.
Before going live, verify the template sends the content you expect. Open the rule and check the subject line and body.
Editing a rule
- Click the rule name in the list.
- Edit the Subject and Body fields.
- The body supports these template variables:
| Variable | Inserts |
|---|---|
{{ camper_name }} | Guest’s full name |
{{ start_date }} | Arrival date |
{{ end_date }} | Departure date |
{{ space_name }} | Site name |
{{ total }} | Reservation total |
- Click Save.
Pausing a rule
Toggle the Active switch on the rule to pause it without deleting it. Paused rules appear in the list but do not fire.
Adding a custom rule
- Click + Add Rule.
- Select an event trigger:
- Booking confirmed
- Check-in reminder (fires N days before arrival)
- Post-stay thank-you (fires N days after departure)
- Payment reminder
- Enter the subject and body using the template variables above.
- Set the recipient (guest email by default).
- Toggle Active to enable the rule.
- Click Save.
Troubleshooting
Guest did not receive a confirmation email — check that the Booking Confirmed rule is Active (not paused). Also confirm the guest’s email address is entered correctly on the reservation.
Template variable not rendering — the variable must match exactly, including the double curly braces and spacing (e.g. {{ camper_name }}). Check for typos.
