Customer Portal

How guests book online and how staff manage portal submissions.

The customer portal is the public-facing booking website. Guests can search availability, select a site, and submit a reservation without logging in.

Prerequisites

  • At least one active site with a rate
  • Your park slug (visible in Setup or in the URL when logged in)

Your portal URL

https://your-domain/portal/camp/YOUR-SLUG

Share this URL with guests. You can also embed a link on your own website or social media.

What guests see

  1. Date picker — guest selects arrival and departure dates.
  2. Site list — available sites appear with amenity chips (hookup type, pull-through, WiFi, etc.) and the nightly rate.
  3. Review page — guest enters name, email, phone, rig type, and any special requests.
  4. Confirmation — guest submits the booking. A confirmation email fires automatically if the Booking Confirmed email rule is active.

After submission, the reservation arrives in the office as Unconfirmed (orange status chip).

Reviewing and approving portal bookings

  1. Click Reservations in the sidebar.
  2. Filter by Unconfirmed or watch for orange status chips in the list.
  3. Open the reservation.
  4. Click Approve to confirm, or Reject to decline (a reason is required).

Deposit and cancellation policy

  • Deposit — set a deposit percentage in Setup → Park Options → Deposit %. Guests are charged this percentage at booking. Set to 0 for no deposit.
  • Cancellation policy — the plain-text policy entered in Setup → Park Options → Cancellation policy is shown to guests at checkout and in confirmation emails.

Minimum and maximum stay

  • Min stay / Max stay — enforced on portal search. Set in Setup → Park Options. Office staff can override these limits when creating reservations directly.

Controlling which sites appear on the portal

Only active sites with a rate for their price tier appear in portal search results. Sites with active Blackout periods are excluded from results for those dates.

Testing the portal

Before sharing the portal URL publicly, test the full booking flow:

  1. Open the portal URL in a private/incognito browser window.
  2. Search for dates, select a site, and complete a test booking.
  3. Go to Reservations in the dashboard and find the test booking (Unconfirmed).
  4. Click Approve to confirm it, then optionally cancel and delete the test record.

Troubleshooting

No sites appearing in portal search results — check that at least one site is active and has a rate set for its price tier.

Portal shows “no availability” — all sites may be occupied or blacked out for the dates selected.

Guest not receiving confirmation email — the Booking Confirmed email rule may be paused or the guest’s email may be entered incorrectly on the reservation.
