Rates and Seasons

How to set nightly rates, create seasons, and manage the rate matrix.

Prerequisites

  • Manager or Owner role
  • At least one site type and one price tier defined in Setup

How rates work

Rates are structured as seasons (date windows) × site type combinations.

  • Every site belongs to a price tier.
  • The rate matrix sets a nightly rate for each site type within a season.
  • Dates not covered by any season fall back to the Default row.
  • The portal automatically shows guests the correct rate based on their arrival date.

Setting the default rate

The Default row in the rate matrix applies to all dates that are not covered by a named season.

  1. Click Rates in the left sidebar.
  2. In the Default row, click a cell and type the nightly rate for that site type.
  3. The rate saves automatically when you move to another field.

Creating a season

  1. Click Rates → click Add season.
  2. Give the season a name (e.g. Peak Summer 2026).
  3. Set the start date and end date.
  4. Click Save.
  5. The new season row appears in the rate matrix. Enter the nightly rate for each site type.

Editing or deleting a season

  • To edit dates or name: click the season name or the pencil icon on the season row.
  • To delete: click the trash icon. Existing reservations already priced within that season are not affected.

Rate matrix

The rate matrix is a grid of season rows × site type columns. Each cell is the nightly rate for that combination.

  • Leave a cell blank to inherit the Default rate for that site type.
  • Enter 0 to make a site type free during a season.

Tips

  • Start with a Default rate and one peak-season rate, then add shoulder seasons as your pricing strategy develops.
  • Seasons can overlap — the system uses the most specific (most recently defined) overlapping season. To avoid ambiguity, keep seasons non-overlapping.

Troubleshooting

Rate not appearing on the portal — check that the site’s price tier has a rate in the rate matrix for the date range the guest is searching.

Guest sees a different price than expected — confirm which season covers the arrival date. Open Rates and check if an overlapping season is taking precedence.
